This Privacy Policy ("Policy") describes how Appoleon BV ("Adeptiq", "we", "us", or "our") collects, uses, shares and protects personal data in the context of its services, including the platform through which recruiters use AI to import CVs, manage candidate information and find candidates through searches (the "Services").

Our Services are exclusively intended for business use and not for private use by consumers.


1. Personal data we collect

We may collect the following types of personal data:

a. Data you provide:

  • Name, email address, job title, company name

  • Login credentials such as username and password

b. Data about candidates (customer data):

  • CVs and associated information, including names, contact details, work experience, education and other application information.

  • Data you enter into the platform such as notes about candidates.

For this data, the Customer is the controller. Adeptiq assumes the role of processor.

c. Automatically collected data:

  • IP address, browser type, device information, time of access, usage patterns within the platform

  • Cookies and similar technologies (see section on cookies)

d. Data from third parties:

  • When you use integrations, we may receive additional data through these partners.


2. How we use personal data

We use personal data for the following purposes:

  • Providing, maintaining and improving our SaaS service

  • Enabling AI-based functionalities such as summarizing and making CVs searchable

  • Creating and managing user accounts

  • Communication about technical updates, important notifications or support

  • Sending marketing communications (with your consent)

  • Analysis of usage behavior to optimize our service


3. How we share data

We only share personal data with:

  • Service providers, such as cloud hosting, analytics and support

  • AI processors, who assist in processing candidate data (under a Processor Agreement)

  • Legal authorities, if legally required

  • In the context of a business transfer, such as a merger or acquisition

  • With your consent, for example if you agree to sharing via an integration

We do not sell your personal data.


4. Cookies and tracking

We use cookies to:

  • Improve your user experience

  • Obtain statistical insights

  • Optimize our marketing efforts


5. Security

We take technical and organizational measures to protect personal data against unauthorized access, loss or misuse. However, no method is 100% secure. Contact us if you suspect misuse of your account.


6. Retention period

We retain personal data for as long as necessary to provide our services or to comply with legal obligations. Customer data (such as CVs) is retained as long as the customer actively uses the platform. The customer is responsible for determining a retention period for their candidate data, and deleting the data once the period has expired. After termination of the customer relationship, we delete this data within a reasonable period, unless legal obligations require otherwise.


7. Your rights

You have the right to:

  • Access to your personal data

  • Correction of incorrect data

  • Deletion of your data (in certain cases)

  • Object to processing for marketing

  • Withdraw previously given consent

8. International transfer

We do not transfer personal data outside the European Union. All our service providers and data processors are located within the EU or in countries with an adequacy decision.
